Home Services Assistant

The Home Services Assistant provides administrative support to the Home Services Department and acts as the maintains liaison between the Home Services Department and our clients.  The Home Services Assistant manages, files, and audits, electronic databases and paper files. The Home Services Assistant has strong communication skills, clerical skills, and organizational skills.

 

Responsibilities:

  1. Orders supplies and materials.
  2. Performs photocopying, faxing, shredding and other office duties.
  3. Assists with lamination projects.
  4. Independently researches assignments provided by the supervisor(s).
  5. Helps with special projects for administration when needed.
  6. Performs other duties as requested by supervisor(s).
  7. Function as the primary contact for the Home Services Department.
  8. Communicates to clients on behalf of the Homes Service Department regarding inclement weather, policy, scheduling, and staffing.
  9. Provides a professional and welcoming first impression to potential clients.
  10. Answers telephone calls promptly, takes messages, screens calls, and direct calls as needed.
  11. Provides excellent customer service to parents, staff, public schools, insurance providers, and potential clients.
  12. Maintains Home Services referral file.
  13. Tracks staff attendance and hours. Maintains staff schedules and hours.
  14. Manages the distribution and collection of consent forms.
  15. Organizes and archives client files. Conducts biannual audits of client files.
  16. Manages due dates and expiration dates for progress reports, IEPs, and billing contracts.
  17. Updates electronic databases.
  18. Tracks staff trainings.
  19. Takes meeting minutes.
  20. Maintains confidentiality and follows HIPAA guidelines.

 

Requirements:

  1. Bachelor’s Degree preferred.
  2. Must be poised and polished for interacting with staff, families, and potential clients.
  3. Ability to establish and maintain effective relationships with staff, outside personnel, and students.
  4. Ability to maintain confidentiality, exercise discretion, and demonstrate good judgment at all times.
  5. Strong commitment to excellent customer service.
  6. Caring, compassionate, hard-working, and punctual.
  7. Organized with strong attention to detail.
  8. Excellent time management skills.
  9. Ability to work independently with minimal direction and as a member of a team.
  10. Skilled in Microsoft Office, Microsoft Excel, and Adobe Acrobat.
